Booking Terms

The terms applicable to your booking may vary depending on factors including, but not limited to, the requested service, selected vehicle, destination, and other relevant circumstances. The terms presented to you during the booking process and confirmed in your booking confirmation shall take precedence over any other information published on our website or elsewhere. By proceeding with the booking, you acknowledge and agree to be bound by the specific terms governing your booking.

Waiting Time

For bookings that include waiting time, the following complimentary waiting periods apply:

  • Commercial flights: 60 minutes from the flight’s actual landing time
  • Private flights: 30 minutes from the aircraft’s landing time
  • Cruise ships: 30 minutes from the vessel’s arrival time
  • All other journeys: 15 minutes from the scheduled pick-up time

Once the complimentary waiting time has expired, waiting will be charged based on the vehicle’s hourly rate, billed in 30-minute increments.

Stop Charges

Additional charges may apply for any unscheduled or requested stops made en route to the final destination.

Service Extensions

Should you wish to extend the duration of the service, additional time will be charged at the vehicle’s applicable hourly rate and calculated in 60-minute increments.

Additional Charges

Conciliera reserves the right to issue a supplementary invoice following completion of the service to recover any charges incurred outside the scope of the original booking. Any such charges will be automatically billed to the payment method used for the initial booking.

Tips & Gratuities

Tipping practices vary by region, and Conciliera respects these cultural differences. Chauffeurs are fairly compensated for their services; however, you may choose to offer an additional gratuity at your discretion. Gratuities may be given directly to the chauffeur or processed through the Conciliera platform. Where gratuities are paid through the platform, Conciliera will collect and remit the full amount to the appropriate party.

Change Policy

Requests to amend a confirmed booking may be made prior to the service commencement. Minor changes—such as updates to passenger details, flight, train, or vessel information, or child seat requests (subject to availability)—may be accommodated at no additional cost.

Changes involving vehicle category, pick-up or drop-off location, route, additional stops, service duration, or pick-up date or time may result in a revised price. Requests made close to the scheduled pick-up time or during overnight hours may incur a surcharge, subject to availability.

If a change request is made within the cancellation window and cannot be accommodated, the booking will be treated as a cancellation and charged in accordance with the applicable cancellation policy. In some cases, fulfilling a change may require cancelling and rebooking, in which case cancellation fees may apply. If a chauffeur is already en route or on location, waiting time charges may also apply. All applicable charges will be communicated prior to confirmation of any change.

Change Communication Policy

Booking changes, instructions, or requests must not be communicated directly to chauffeurs, greeters, or delivery agents. All modifications must be made exclusively through Conciliera’s official communication channels (platform, email, phone, or authorised support). Any change will only be considered valid once reviewed and approved by Conciliera. Conciliera accepts no liability for issues arising from unauthorised direct communication.

Cancellation Policy

If a confirmed booking is cancelled prior to commencement, the following cancellation terms apply:

  • Transfer services under 2 hours:
    • More than 4 hours’ notice: full refund
    • Less than 4 hours’ notice: no refund
  • Transfer services over 2 hours:
    • More than 24 hours’ notice: full refund
    • Less than 24 hours’ notice: no refund

Grace Period for Immediate Cancellations

Bookings cancelled within 10 minutes of placement will not incur a cancellation fee, provided that a chauffeur, greeter, or delivery agent has not yet been assigned. Once assigned, or after the grace period has elapsed, standard cancellation terms apply.

Refunds

Refund requests must be submitted in writing within 7 days of the scheduled service date. Approved refunds may take between 5 and 10 business days to appear on your bank statement, depending on your financial institution.

No-Show

Failure to appear at the designated pick-up location and time after confirmation has been issued will result in the full booking amount being non-refundable.

Passengers

If the number of passengers exceeds the capacity of the booked vehicle, you must amend the booking to a suitable vehicle or arrange an additional one. The chauffeur reserves the right to refuse service if passenger limits are exceeded.

Fitness to Travel

Any passenger who appears to be under the influence of alcohol or drugs, or whose behaviour poses a risk to safety, may be refused transport. In such cases, the standard cancellation policy will apply.

Luggage

Luggage allowances per vehicle are displayed on the booking platform. If luggage exceeds capacity, you must amend the booking or arrange an additional vehicle. For safety reasons, luggage may not be carried in the passenger compartment. Items that do not fit in the boot, are excessively heavy, or include non-standard items (such as bicycles, surfboards, skis, golf bags, or large boxes) may require a larger or additional vehicle and may incur extra charges. The chauffeur assumes no responsibility for the handling or condition of baggage or personal belongings.

Pets

Transport of animals must be declared and approved at the time of booking. Animals must be carried in a secure, closed, and appropriate carrier. The chauffeur may refuse transport if these conditions are not met.

No-Smoking Policy

Smoking is strictly prohibited inside the vehicle. Any breach will result in cleaning fees and compensation for vehicle downtime.

Lost Property

Neither Conciliera nor the chauffeur is responsible for items lost, forgotten, or left behind by passengers.

Repair & Cleaning Fees

You are responsible for any damage or excessive soiling caused by you or your passengers. Charges will apply for repairs or specialist cleaning where required.

Availability

All vehicles and services are subject to availability.

Vehicle Allocation

While Conciliera endeavours to honour specific vehicle requests, we reserve the right to substitute a vehicle of similar or higher category if necessary.

Complaints

Any complaints must be submitted as soon as reasonably possible and no later than 7 days after the scheduled service date. Each complaint will be reviewed carefully, and where appropriate, a refund or account credit may be offered. Complaints received after this period will not be eligible for compensation.

Acceptance

Use of Conciliera’s services constitutes your acceptance of these Terms & Conditions.

Booking Terms & Conditions

The terms and conditions applicable to your booking may vary depending on the service requested, vehicle selection, destination, and other relevant circumstances. The terms presented during the booking process and confirmed in your booking confirmation shall prevail over any information published on our website or elsewhere. By completing your booking, you confirm that you have read, understood, and agreed to the terms specific to your service.

Hourly and Vehicle-at-Disposal Service Inclusions

For hourly bookings and vehicle-at-disposal services that extend beyond city limits, distance-based charges may apply. Unless a specific itinerary and fixed price have been expressly agreed upon in advance, the service includes an allowance of twenty-five (25) kilometers per hour of the booked service time. Any distance travelled in excess of this allowance during the service shall be calculated based on the total additional kilometers incurred and shall be subject to additional charges in accordance with Conciliera’s prevailing rates.

Service Extension

Should you wish to extend the duration of the service, additional time will be billed at the vehicle’s applicable hourly rate. Extensions are charged in full 60-minute increments.

Additional Charges

Conciliera reserves the right to issue an additional invoice following completion of a service to cover charges incurred outside the original booking scope. Any such charges will be applied to the payment method used for the initial booking.

Tips & Gratuities

Tipping practices differ internationally, and Conciliera recognises these variations. Chauffeurs operating through the Conciliera platform are appropriately compensated; however, you may choose to offer an additional gratuity at your discretion. Gratuities may be provided directly to the chauffeur or processed through the Conciliera platform. Where processed through the platform, Conciliera will collect and remit the full amount to the intended recipient.

Change Policy

You may request modifications to a confirmed booking prior to service commencement. Minor amendments—such as passenger details, travel information, or child seat requests (subject to availability)—may be accommodated without charge.

Requests involving changes to vehicle category, pick-up or drop-off location, route or itinerary, additional stops, service duration, or pick-up date or time may result in repricing. Requests made close to the scheduled service time or during overnight hours may incur an additional surcharge, subject to availability.

If a requested change cannot be accommodated within the applicable cancellation window, it will be treated as a cancellation and billed accordingly. Where implementing a change requires cancellation and rebooking, a cancellation fee may apply. If a chauffeur is already en route or on-site, waiting time charges may also be incurred. Any price adjustments or applicable fees will be communicated prior to confirmation.

Change Communication Policy

All booking changes, instructions, or requests must be submitted exclusively through Conciliera’s authorised communication channels, including the platform, email, phone, or official support contact. Direct communication with chauffeurs, greeters, or car delivery agents regarding booking changes is not permitted. No change shall be considered valid unless formally reviewed and approved by Conciliera. Conciliera shall not be responsible for issues arising from unauthorised direct communication.

Failure to arrive at the confirmed location and time will be considered a no-show. In such cases, all charges paid are non-refundable.

Passengers

The number of passengers must not exceed the seating capacity of the booked vehicle. If capacity is exceeded, the booking must be amended to a suitable vehicle or an additional vehicle arranged. The chauffeur reserves the right to refuse service if capacity limits are exceeded.

Fitness to Travel

Passengers who appear to be under the influence of alcohol or drugs, or whose conduct presents a safety risk to the chauffeur, vehicle, or other passengers, may be denied service. Standard cancellation terms will apply.

Luggage

Each vehicle’s luggage capacity is displayed during the booking process. If luggage exceeds this capacity, you must upgrade the vehicle or arrange an additional one. For safety reasons, luggage may not be placed in the passenger cabin. Items that do not fit in the vehicle’s boot or are deemed excessively heavy may be declined.

Non-standard items—including but not limited to bicycles, surfboards, golf bags, skis, or large boxes—may require a larger vehicle or additional vehicle and may incur extra charges. Chauffeurs are not responsible for the handling, condition, or security of luggage or personal belongings.

Pets

Transport of animals must be declared and approved at the time of booking. Animals must be secured in an appropriate, closed carrier. Chauffeurs may refuse transport of undeclared or improperly contained animals.

Car Rental

Conciliera Inc.

Booking Terms & Conditions

The terms applicable to your booking may vary depending on the service requested, vehicle selection, destination, and other relevant circumstances. The terms presented during the booking process and confirmed in your booking confirmation shall prevail over any information published on our website or elsewhere. By proceeding with the booking, you confirm that you have read, understood, and agreed to the terms governing your specific booking.

Insurance

Insurance coverage is included in the booking fee and provides protection for you and any authorised driver against claims arising from an accident occurring during the booking period.

Insurance (Canada & USA)

You may provide proof of an active motor insurance policy issued in your name. The policy must include both collision and liability coverage and must transfer to the rental vehicle.

Additional Coverage (Canada & USA)

You may choose to purchase a Collision Damage Waiver (CDW), which limits your financial liability for loss of or damage to the vehicle in accordance with the rental agreement. CDW does not cover theft resulting from failure to exercise reasonable care. CDW pricing varies depending on vehicle type, category, and rental duration.

Age & Driving Licence Requirements

You and any additional authorised driver must meet the minimum age requirements:

  • 21 years (Canada, USA, UAE)
  • 25 years (EU)
  • 28 years (UK)

All drivers must hold a valid driving licence for a minimum of three (3) years. Driving licences issued by EU member states, Canada, and the USA are accepted without additional requirements. Licences issued in non-Roman alphabets (including Arabic, Japanese, or Cyrillic) must be accompanied by a valid International Driving Permit.

Authorised Drivers

Only you and any pre-approved authorised drivers may operate the vehicle during the booking period. Use of the vehicle by any unauthorised individual will immediately invalidate all insurance coverage.

Identity & Licence Verification

You and any authorised driver must present original identification and the original driving licence used to make the booking at the start of the rental. Failure to provide the required documentation will result in ineligibility to drive the vehicle and forfeiture of any refund.

Permitted Use of the Vehicle

The vehicle may only be used on public roads and for normal driving purposes. Use of the vehicle is strictly prohibited for courier services, racing, track days, rallies, speed testing, hire or reward, transportation of illegal, explosive, or hazardous materials, or any activity involving profit or remuneration.

Mileage / Kilometre Allowance

A mileage or kilometre allowance is included in the booking fee. Any distance travelled beyond the included allowance will be charged accordingly.

Duty of Care

You are required to operate and park the vehicle responsibly, maintain reasonable cleanliness, secure the vehicle when unattended, and use all provided security features at all times.

Damage Responsibility

You are fully responsible for any damage caused to the vehicle and must comply with all reporting, claims, and repair procedures. An insurance excess applies in the event of damage. The applicable excess depends on the vehicle booked and may be deemed a total loss if an insurance claim is made following an accident caused by you or an authorised driver.

Security Deposit

A security deposit must be pre-authorised on a credit card prior to the start of the booking. The deposit may be retained to cover:
i) a security bond;
ii) mechanical damage not covered by insurance (including tyres, wheels, clutch, or gearbox damage resulting from misuse);
iii) insurance excess for accidental damage or third-party loss;
iv) losses, penalties, or inconvenience resulting from police involvement, vehicle seizure, reckless or dangerous driving, or negligence.

If an accident occurs, the deposit will be held until fault is determined. Costs for damage, excessive wear, or cleaning identified upon inspection will be deducted. The deposit will be forfeited in full if the vehicle is stolen or deemed missing during the booking period.

Maintenance Obligations

You must immediately notify Conciliera of any serious mechanical issues, including warning lights. Driving must cease immediately if a serious fault is detected.

Breakdown

In the event of a breakdown, you must contact Conciliera immediately. A replacement vehicle may be provided unless the breakdown resulted from misuse. You may be liable for repairs or mechanical failures caused by misuse or negligence.

Accidents

All accidents or damage must be reported to Conciliera immediately. You must obtain witness details where possible, submit a written incident report, and collect insurance information from all involved parties. Continued use of the vehicle requires explicit authorisation. Failure to report may reduce or void insurance coverage.

Fuel Policy

Vehicles are provided with a full fuel tank and must be returned full. Fuel shortfalls will be charged at pump price plus an administration fee. You are responsible for using the correct fuel. Misfuelling costs, including recovery and repairs, are your responsibility.

No-Smoking Policy

Smoking is strictly prohibited in or near the vehicle. Breaches will result in cleaning fees.

Traffic Violations & Parking Fines

You are solely responsible for all fines, penalties, and administrative fees arising from parking or traffic violations during the booking period, regardless of who was driving. An administrative fee applies per violation.

Impound

If the vehicle is impounded during the booking period, you are responsible for all related costs unless the impound resulted from circumstances entirely beyond your control. You must assist in recovering the vehicle.

Repossession

The vehicle may be repossessed without notice, at your expense, if it is not returned on time, is illegally parked, abandoned, or used in breach of these terms or applicable law.

Extensions

Extensions are subject to vehicle availability and current market pricing, with a minimum charge of one additional day. Original pricing does not apply to extensions. If an extension is not approved, the vehicle must be returned as originally agreed.

Automatic Extension

Failure to return the vehicle on time without an approved extension will result in automatic 24-hour extensions charged at prevailing market rates until the vehicle is returned.

Additional Charges

Conciliera reserves the right to issue a supplementary invoice after the booking to recover costs incurred outside the original booking scope. Any such charges will be applied to the original payment method.

Change Policy

Booking modifications may be requested prior to commencement without an administration fee; however, additional charges may apply depending on the nature and timing of the change. Where changes require cancellation and rebooking, cancellation fees may apply. All applicable charges will be communicated in advance.
